Terms and conditions
Olympia Prep Tutoring Policies: A parent or guardian must be home for the entirety of any sessions taking place at the student’s home. Tutoring sessions may also be held in a public place such as a library. Any student dissatisfied with the quality of instruction after the first session is entitled to a repeat of the first session with a new tutor at no extra charge (see guarantee). Students are responsible for canceling scheduled tutoring sessions at least 48 hours in advance of the scheduled tutoring time. If a student does not cancel a scheduled session at least 48 hours in advance, he or she may forfeit that tutoring session at the discretion of their tutor and this may result in being charged in full for that session. Students are responsible for coordinating the schedule of all tutoring sessions with their tutor. There will be no refunds given on any unused tutoring sessions. Tutoring sessions are also non-transferable.
Cancellation Policy: The cancellation of any Olympia Prep program is subject to a 20% cancellation fee per student, unless canceled within 5 days of purchase and before the start of a class or tutoring package (see tutoring policies regarding individual tutoring sessions). Refunds will not be issued once a course or private tutoring program begins. In the event of a scheduling conflict, any course enrollment can be moved to another location or rescheduled to a later session without penalty. Late Registration/Missed Classes There will be no prorating or refunds given due to late registration or missed classes. Each student is encouraged to make up any missed classes at another location or in a future round. Students may also purchase individual tutoring blocks to make up missed classes. Unused tutoring blocks will not be refunded, however they may be used for future tutoring sessions.
Guarantee Details: Please note that if you exercise one of the guarantees detailed below, you will not be eligible for other guarantee offers. In order to receive any of the benefits of our guarantees, the student must meet all of the Olympia Prep Graduation Requirements. We define Graduation as follows: the student must attend every class, test, and review session in their program, take a minimum of 6 practice exams during a proctored session or else as soon as possible within the timeframe of the program, complete all homework assignments in time, and complete all the supplementary private tutoring hours (always 2 or more hours, in addition to live classroom or one-on-one tutoring instruction) within the time frame of the program.
Olympia Prep Goal Score Guarantee (also called the “4-point Guarantee”): If you complete the Foundation portion of our Academy Membership or Private Tutoring (completing the Foundation is defined as finishing a minimum of 12 hours of direct instruction) and you do not reach your Goal Score following the program, or you don’t feel ready to take the real ACT test, or are unsatisfied with the course for any reason, you are entitled to additional free support after four months of tenure in the membership. This means you can continue to attend all Member activities, plus will be given an extra hour of private attention monthly until you reach your goal score.
Love Your Instructor Guarantee. if you don’t love your tutor, we will find you a different tutor that will be a better match, and you can then repeat the first tutoring session for free.
100% Money Back Guarantee or “Superscore” Guarantee: If you finish the Foundation portion of your Academy or Private Tutoring program (defined as completing a minimum of 12 hours of direct instruction), take at least 6 practice exams with Olympia Prep, meet the graduation requirements, and report your official test scores (at least 2 national tests after the program) following the directions below, and your official test scores do not improve by at least 1 point on the ACT composite score, you are eligible for a refund based upon your superscore improvement, if any, in the 4 main sections of the ACT: English, Math, Reading, Science. If none of the 4 sections of the ACT improve, you are eligible for 100% of your money back. If one of the 4 sections of the ACT improves, you are eligible for 75% of your money back. If two of the 4 sections of the ACT improve, you are eligible for 50% of your money back. If three of the four sections of the ACT improve, you are eligible for 25% of your money back. A similar structure is applied to the SAT 4 sections of Writing & Language, Reading, Math (No Calculator), and Math (With Calculator).
110% Money Back Guarantee or “Composite” Guarantee: If you meet the standard graduation requirements, including taking 9 or more ACT tests through your program (minimum 6 for 100% money back guarantee, but 9 for 110% guarantee), and attend all events (at least 24 hours live instruction), complete all homework, and complete all tutoring in excess of 20 tutoring hours (or 8 hours of tutoring if combined with 12 or more hours of in-person group instruction), you will qualify for 110% of your money back; a student with fewer than 8 tutoring hours total in their program can substitute Office Hours attendance for tutoring hours. Example scenario: in a tutoring package that contains 24 hours of tutoring, a student would need to complete at least 20 hours to qualify for the 110% Money Back Guarantee and at least 12 hours to guarantee for the 100% Money Back Guarantee, if all other graduation requirements are met. Example scenario: if an Academy student completes 2 hours of tutoring in addition to 12 hours of in-person group instruction, they would qualify for the 100% Money Back Guarantee if all other graduation requirements are met. If this student completes 6 more hours of private tutoring, equalling 8 hours of private tutoring in conjunction with 12 hours of in-person group instruction, and all other graduation requirements met, this student would qualify for the 110% Money Back Guarantee. Example scenario: if an Academy student completes 2 hours of tutoring in addition to 12 hours of in-person group instruction, they would qualify for the 100% Money Back Guarantee if all other graduation requirements are met. If this student completes 2 more hours of private tutoring, equalling 4 hours of private tutoring, and also attends an additional 4 hours of “Office Hours”, totalling 8 hours of private tutoring and online “Office Hours”, in conjunction with 12 hours of in-person group instruction, and all other graduation requirements met, this student would qualify for the 110% Money Back Guarantee. In each of these scenarios, Olympia Prep would give you the needed private tutoring hours for free to help you hit the requirement if you are unable to meet it yourself.
In addition to graduation requirements, money-back guarantees will be determined by national testing results. You must take the official ACT test within 10 weeks following the final session of your program. You must take a second official test within 6 months of the final session of your program. You must present your two official test score reports to Olympia Prep and request a refund within 10 weeks following the second official test. No refunds will be given for a single official test score reported after “Graduation” from your Olympia Prep program. All guarantees require a minimum of 2 ACT Tests reported following the completion of your program, meaning you must submit 3 national test score reports to initiate the refund process (1 from before Olympia Prep and 2 from after Graduation). There is no exception to this 3 test submission requirement to initiate a cash refund request.
How We Measure Improvement: For purposes of measuring improvement for the money back guarantee, we consider an official test score to be your total, official ACT score (Composite score) on 2 separate testing occasions after “graduation” from Olympia Prep. Your “Baseline Score” will be determined as follows:
If you have taken an official ACT test six months or less before the start of any Olympia Prep course, your Baseline Score will be your prior official ACT score.
If you have not taken an official ACT test six months or less before the start of your ACT, your Baseline Score will be the result of your first ACT practice test in your course.
We will compare your Baseline Score with the results of your score on the official test you take within 10 weeks following the final session of the Olympia Prep program.
On occasion, score improvements will be determined by gains made from the first practice ACT test to the final practice ACT test within an Olympia Prep course. These are used for advertising purposes not for refunds. Every customer, has an improvement guarantee on the score achieved on national ACT tests. Olympia Prep instructors are asked to report their best ACT scores, which are verified, and the instructor superscore is occassionally the advertised score for each instructor. Disclaimer: We reserve the right to reschedule or cancel any course. Factors outside of Olympia Prep’s control may affect class schedules. In such events, we do our best to schedule a convenient make-up class; however, we cannot guarantee a make-up session will be scheduled or that the make-up will fit the schedule of every student. If a student misses an exam he or she is welcome to take it at home.
